Job Description
Job duties but not limited to
• Ensure the Scheduling and updating of the Daily Work Order Procedures. This include preparing the Notification and Work Order System, issuing Daily, Weekly work list and Backlog Review requests, input and update Job Scheduling, Data and Work Requests and preparing Preventive Maintenance Schedule
• Coordinate the Division/Department objectives implementation process while monitoring its continual improvement in line with Line Manager’s directives and objectives
• Oversee and coordinate the Division/Department Administrative activities, information sharing and communication throughout the Division/Department including monitoring incoming/ outgoing correspondences and ensuring its proper sorting based on various subjects and categories and follow up with concerned staff until finalization of the subject.
• Prepare variety of documents such as invoices, draft reports, memos, letters, presentation and statistics as required for the Line Manager
• Maintain copies of all documentation, keep all records/files up-to-date, with correspondence, action forms and other related information. Establish new files as required
• Assist and co-ordinate the preparation of annual Budget (CAPEX/OPEX) & Five Year Business Plan under the Line Manager’s supervision.
• Check the input of Notifications and Work Orders to SAP and carryout amendments as necessary
• Prepare the Input, Printing and distribution of Maintenance Reports, Work Orders and documents to Maintenance Engineers and Supervisors on a Daily and Weekly basis
• Provide clerical/technical support to Maintenance Job Officers in scheduling and updating of maintenance work orders and backlog reports and in raising of maintenance requisitions and reservations.
• Assist in the formation of Suborders on existing work orders and ensures the issue of scaffolding numbers and the maintenance of the scaffold register
• Issue Minor Mechanical, Instrument and Electrical Change request numbers and keep an up-date registers of all these changes in SPF
• Receive modification packages from Engineering & Technical Support Division. Register Modification Number, circulate Modification files to the concerned Maintenance Engineers in both preliminary and final stages
• Produce work programs for various maintenance related jobs, plant shutdowns and machine overhauls as requested by Maintenance Engineers
• Maintain the material queries register for the maintenance Department. Issue on a monthly basis “Outstanding Materials Queries” report to Team Leader Maintenance Excellence and the respective Engineers.
• Coordinate and compile the Division/Department Reports, such as KPI measures, Minutes of Meetings, and follow-up the Quality Objectives and their effective implementation.
• Coordinate and compile Division/Department related input for Corporate reports ensuring accuracy and consistency of data.
• Follow up and update all actions using systems, Change Management, HSE Actions, Management Actions, Risk Management and Agreements/ Contracts related to the Division/Department.
• Collect, input, update, retrieve and distribute technical data for use by relevant personnel using conventional and computer aided techniques (Reliability Data Base, SAP etc.) as required
• Coordinate annual appraisals for all personnel in the Division/Department, to meet deadline for uploading assessment results. Maintains copies of employees’ annual appraisal reports as required
• Participate in updating of all Division/Department Manuals, procedures etc. Ensure the approved manual/necessary information is cascaded to all personnel as required. Upkeep of uncontrolled copies of the manuals in the offices for ready reference.
• Provide technical assistant and information to Term contractors/ coordinators of maintenance department
• Update technical data in SAP system. coordinate with IT department for all divisional IT requirements

Desired Candidate Profile
Minimum Qualifications
• Bachelor Degree
• 5 years of experience in the Oil & Gas or Petrochemical Industry using SAP System and other relevant MS Office software systems for Maintenance planning and scheduling
• Professional in English Language ( reading, writing and Speaking )
• Valid Certificates mandatory
• Professional in Computer Skills MS office system, word, excel, PowerPoint etc
